1. Scope and legal framework

AMANI PARENTAL provides parental guidance and service coordination in Colombia. This policy is based on Colombian Law 1581 of 2012 and its implementing rules, including provisions compiled in Decree 1074 of 2015. Rights arising under other data protection laws will also be addressed where those laws apply to the particular processing.

This policy does not replace specific authorisations that may be required to deliver a service and does not change contracts, prices or commercial terms.

2. Information collected

Enquiries request your name, email, contact information and services of interest. International enquiries may request country of residence, destination city and support options; WhatsApp number, estimated dates, agency name and additional information are optional.

When booking a service, information may be required to create a client record, prepare quotations, service orders, payment requests, receipts and payment certificates, record payments and coordinate providers. Information is limited to the purpose communicated for each process.

The receipt date, request identifier and recorded authorisation are retained. Where an enquiry originates from a campaign, UTM source, medium, campaign and content labels may be associated with it to identify its origin.

3. Purposes

Responding to enquiries, contacting the applicant and preparing personalised proposals; arranging arrival, dates and requested services; following up on the enquiry; coordinating confirmed services and communications with the professionals involved.

Managing commercial documents, payments and service-related obligations; handling requests, complaints and privacy enquiries; preventing abusive or duplicate submissions; complying with legal obligations and valid requests from authorities.

Reviewing enquiry origins and needs in aggregate to improve support. Authorisation to respond to an enquiry is not a compulsory marketing subscription. Additional promotional use requires the relevant authorisation.

4. Authorisation and optional fields

Forms request prior authorisation through a checkbox that is initially unchecked. Leaving optional fields blank does not prevent submission. If you do not authorise processing necessary to respond to your enquiry, do not submit personal information through the form.

Initial enquiry forms do not request medical records, identity documents, card details, medical history or intimate details of your reproductive journey. Please do not include these in free-text fields.

5. Sensitive information and children’s data

Guidance and coordination may relate to families and newborns. The estimated baby’s arrival date is optional and is used only to plan support. The enquiry form does not request clinical information.

If a later service requires sensitive information or a child’s data, its purpose, necessity and submission channel will be explained. Specific authorisation will be requested from an appropriately entitled person where required. The child’s best interests and overriding rights must be respected. This general policy does not replace that authorisation or permit unrestricted collection of sensitive information.

6. Access, recipients and technology services

Administrative access is limited to authorised people managing enquiries and services. Form submissions are recorded through Google Apps Script in Google Sheets and generate a notification to AMANI’s administrative email. The operations portal uses its configured Google Sheets connection and application hosting services.

Hosting, email, storage and communication services may process information outside Colombia. Before communicating personal information, the permitted mechanism, required safeguards and any necessary authorisation or agreements must be checked. We do not claim that all information is stored exclusively in Colombia.

Where needed to coordinate a service, only relevant information will be shared with professionals or providers authorised for that purpose. Independent professionals and authorities determining their own processing may act as separate controllers under their own policies. AMANI does not sell personal information.

7. External links, technical information and campaigns

Opening WhatsApp, Instagram or other external links uses services with their own policies. Communications sent through those channels may be processed by their respective operators.

Hosting may process technical connection information to deliver and protect the website. The website loads fonts from Google Fonts, involving technical requests to that service. The administrative portal may use mechanisms necessary for sign-in.

The current implementation does not install advertising pixels or invasive tools to transmit names, email addresses, phone numbers, health or reproductive information to advertising platforms. UTM labels identify the campaign associated with an enquiry. Changes in tracking tools must be disclosed and any legally required authorisation obtained.

8. Retention and security

Information is retained as needed to handle the enquiry and manage services, and while legal or contractual obligations justify retention. An enquiry that does not result in a booking will be reviewed after follow-up ends to determine whether it should be deleted or anonymised. Commercial records are retained according to applicable obligations. Indefinite retention is not the default.

Access controls and technical measures are used to protect records against unauthorised access. Shared information should be limited and administrative accounts protected. No system can guarantee absolute security.

9. Your rights

You may access, update or correct your information, request evidence of your authorisation and learn how your information has been used. You may request deletion or withdrawal of authorisation where applicable, taking account of legal or contractual retention obligations.

You may complain to Colombia’s Superintendencia de Industria y Comercio after completing the enquiry or complaint procedure with the controller where required by law. If another law protects you, you may request any additional rights that apply and contact the competent authority.

10. How to make a request

AMANI PARENTAL’s administration handles privacy requests. Email contac@amaniparental.com with the subject “Data protection” or contact the business WhatsApp number +57 312 723 2527. Include your name, a reply contact and a clear description of your request. If available, include the enquiry code or service reference.

The minimum information needed to verify the requester’s identity or authority may be requested. Do not initially send identity copies or sensitive information through a public form; an appropriate channel will be identified if needed.

Enquiries are handled within ten working days, with an extension of up to five working days where necessary and notified. Complaints are handled within fifteen working days, with an extension of up to eight working days under the legal conditions. Incomplete complaints will be handled under the procedure in Colombian Law 1581 of 2012. Exercising your rights does not require purchasing a service.

11. Effective date and changes

The effective date appears at the beginning of this policy. Databases remain active only while necessary for the stated purposes and applicable obligations.

Updates will be published on this page. Material changes to the controller or purposes will be communicated before they take effect; renewed authorisation will be requested where necessary. Publication of an update does not replace required consent.

12. Languages

This policy is available in Spanish and English to assist international families. Both versions describe the same processing. Contact us through the stated channels for clarification; rights provided by applicable law are not limited by your choice of language.
